In this guide
For a first Access Boston setup, begin with the City’s onboarding message and the official Access Boston registration guide. The City sends account details through its onboarding process; do not create a separate account through a search result or send a temporary password to anyone. Open access.boston.gov only when you are ready to complete the City’s current instructions.
A new employee often needs to wait for the employment record and account to be provisioned before registration can work. The City’s welcome guide, revised in 2021, says the account is tied to the employment record and becomes active two days before the official start date. Because that document is older, use your current HR or department instructions for the actual activation date.
Before you begin
Find the City’s welcome message and any separate temporary-password message in the personal inbox used during hiring. Keep them private. The City guide says those messages contain account details; a public guide cannot tell whether your account exists or whether your employment record has synchronized. If neither message arrived, ask your hiring contact to confirm which address the onboarding record used.
Use a device and browser you control, and navigate to the official portal from a City source. Avoid public computers for initial registration when possible. If a City device or department-specific process is required, follow that instruction rather than assuming the same setup applies to every department. Never post screenshots that expose an employee ID, email address, temporary password, or security code.

First Access Boston setup: a careful sequence
Original visual explainer · silent · no autoplay
A silent editorial sequence for new employees: confirm the account is active, use the official portal, follow the current City setup prompts and keep MFA private. No account screen is shown. This is an editorial illustration, not a provider tutorial or a recording of an account. Video files are served by this website.

- Start with the City onboarding message. Keep the temporary account details private.
- Enter access.boston.gov from a trusted City source; do not use a lookalike sign-in page.
- Follow the current City prompt to change a temporary password and register the offered MFA method.
- The City welcome guide revised in 2021 described a two-day activation window. Confirm current timing with HR or department IT if your instructions differ.

Follow the City registration sequence
- Wait until the City account is active according to the current onboarding instructions.
- Open the official Access Boston address and use the City-supplied account details exactly as directed.
- Change any temporary password when the City prompt requires it; do not reuse a personal password.
- Register the multi-factor method offered by the City account. Keep the method and any recovery instructions under your control.
- After sign-in, review the application tiles you are authorized to use. A missing tile can require separate approval.
The City’s registration and welcome documents describe the sequence at a high level, but prompts can evolve. If the current screen differs, stop and confirm the route with the official City help desk. This guide does not collect credentials and cannot register an account for you.
Why account timing can look like a login error
A sign-in attempted before provisioning is complete may fail even if you have the correct onboarding information. The City’s 2021 welcome guide ties activation to the employment record and states a two-day-before-start window. It is useful context, but it is not a real-time status check and does not prove that a particular account should already be active today.
If your start date has arrived and access still fails, avoid cycling through old temporary passwords or creating alternate accounts. Ask the hiring or HR contact to verify the start date and employee record, then use the department service desk for the technical account path. If the account opens but a specific application is absent, the next step is the application owner or the missing-tile guide, not necessarily another registration.
What to do after first sign-in
Once the account works, take a moment to identify the distinct destinations. Access Boston is the starting point. Beacon handles the City HR portal and contact center; ESS is used for certain personal, financial, and time-tracking records; The Hub is an employee information resource. The system map explains which one matches the task.
Set up or confirm MFA before you need to change phones or travel. The City welcome guide describes device management and the PingID app, but your current account screen determines what is available. Our device and MFA guide explains how to plan that change without weakening account security.
When the setup does not complete
Use the message that matches the point where setup stopped. If the account is not active or the welcome message is missing, start with the hiring or HR contact that handled onboarding. If the official portal rejects the credentials or MFA method, contact your authorized department Service/Help Desk. If sign-in works but a specific tile is unavailable, include the tile name and ask whether the application needs approval.
For support, give the date and time, device and browser, and a short description of the step that failed. Do not include your password, MFA code, full security answer, Social Security number, or an unredacted employee screen. The official support-routing guide helps separate account setup from an HR or payroll question.
The main guide to Access Boston and related City systems explains where each destination fits. For current procedures, prefer the City’s linked materials over a third-party summary, especially when account activation dates or verification prompts change.
