If you can sign in to Access Boston but an application tile is missing, treat it first as an application-access question, not a password failure. The City FAQ says some applications require approval before access and that tiles can change when a role or department changes or a sponsored account expires. Confirm your role with your supervisor and ask the department Service/Help Desk or application owner to route the request.
Do not use a coworker’s account or search for an alternate login page. A tile is a signpost to a permissioned system, not the permission itself. The City’s public FAQ was last updated October 2, 2023, so use it as context and check current City instructions for any newer process.
Start by separating sign-in from authorization
If the portal accepts your sign-in and displays your account, authentication likely succeeded for that step. The next question is whether the City account is authorized for the particular application. Some systems require the app owner to approve a request; a tile may be hidden until that approval or a role assignment is in place.
By contrast, if Access Boston does not accept the account or MFA, the issue is account access. Use the sign-in troubleshooting route. If the portal works but one tile does not, record the application name and use the steps below.
Check whether something changed
The City FAQ lists department moves, role changes and expired sponsored accounts among reasons the tiles can change. If the tile used to appear, ask your supervisor whether your job record, assignment or department changed. For sponsored users, check whether the sponsor or account expiration date changed.
Avoid assuming the portal has deleted data or that your account is locked. A role change can affect access without changing the sign-in password. Ask the system owner whether your new role is supposed to include the application, and whether a separate approval request is required.
Use the support route that matches the tile
- Employee role or department changed: check the underlying job record with your supervisor or HR contact.
- Application needs approval: ask the application owner or department help desk who submits the request.
- Sponsored account: ask the sponsor to confirm the account is active and has the intended scope.
- Several City tiles changed: contact the official Access Boston or department Service/Help Desk and describe the date and role change.
The 2023 FAQ gives official examples and lists an Access Boston contact for further investigation of changed tiles. Since contact details can change, confirm the current address on the City page before sending a message. Do not include passwords, MFA codes, Social Security numbers or private records in an ordinary email.
What to include in a request
A concise request can state that you can sign in, name the missing application, say whether the tile used to be visible, and give the approximate date the change began. Mention any department or role change only through the official channel. Ask whether approval is required and who owns it; this makes the next step concrete.
A cropped screenshot can sometimes help, but remove names, account identifiers, other tiles, notices, and personal records. The City help desk can request information through its approved process. This independent publication cannot check your role, inspect City systems, restore a tile or grant access.
If the application opens but a task is missing
A tile may open successfully while a feature is absent inside the destination application. That can be a separate permission or employee-classification issue. For example, City employee guidance notes that ESS functionality can vary by classification. Ask the application or record owner whether the task is available for your role before repeating portal enrollment.
